Asset Versions & History
Every upload creates a new numbered version stacked chronologically (V1, V2, etc.). Previous versions are never removed; reviewers can jump between or compare any two versions easily.
Full Disclosure: functionalities that require extra sliding-scale resources or one-time setups (such as custom CNAMEs) are clearly marked below.
The structural container for everything under review.
Every upload creates a new numbered version stacked chronologically (V1, V2, etc.). Previous versions are never removed; reviewers can jump between or compare any two versions easily.
Once a final version is confirmed, an asset can be locked to block further uploads, requiring explicit unlocking permissions to modify.
Group assets into folders for navigation. Folder structure has no effect on workflow behavior, routing, or access control permissions.
Add metadata fields like text, date pickers, dropdown lists, numbers, booleans, and multi-select tags to classify publication and campaign information.
Tag assets from a unified hierarchical tag tree managed by administrators to prevent tag drift and ensure clean cross-project filtering.
Instantly parse and analyze newly ingested media. Machine learning models auto-populate schema rows, write descriptions, and apply tags using AI credits.
Star individual assets for quick personal access. Setup open visibility or restrict projects to specific members to isolate sensitive data.
Park raw incoming assets in a safe unassigned tray at the bottom of the workspace. Drag them into project folders when resources are confirmed.
Deleted assets move to trash and retain all their data. They can be restored before permanent deletion is explicitly confirmed.
Markup directly on the file, in the browser.
Draw circles, rectangles, lines, or drop pin-point markers directly onto raw graphics. Reviewers can see exact coordinates for edits, eliminating vague visual directions.
Directly proof vector files and graphic source formats (including PSD, AI, EPS, SVG, TIFF, and RAW images) natively on the canvas without converting them first.
Review heavy multi-page documents, brochures, and ebooks with high-fidelity text selection, highlight, strikethrough, and custom sticky-note annotations.
Review video creatives (such as MP4 and MOV) on an interactive timeline with playhead tracking, frame-by-frame scrubbing, and millisecond-level precision.
Speed up or slow down video playback with responsive speed controls (0.5x, 1x, 1.25x, 1.5x, 1.75x, 2x, 3x, 5x) to analyze fast-paced action.
Draw or sketch directly onto any video frame. These annotations bind directly to that specific timestamp, keeping visual corrections completely in context.
Render live websites in a secure iframe so reviewers can drop comments and draw bounding boxes on interactive elements, forms, and responsive page designs. The starter kit comes with one Weblink to get you started.
Compare any two file versions across different formats side by side. AI automatically spots, pinpoints, and highlights every visual and structural change on the canvas, making version reviews effortless and instantly accurate.
Proof audiobooks, podcasts, and voiceovers either manually or with AI assistance. Listeners can review waveforms, read along with synchronized automated transcripts, and pin precise feedback directly to exact milliseconds or line readings.
Pair uploaded audio files directly with source manuscript PDFs. The system automatically synchronizes spoken narration with manuscript text, runs automated alignment checks to highlight reading errors, and pinpoints precise audio feedback comments directly onto the exact interactive waveform.
Simulate how live sites or designs render across multiple device viewports (Mobile, Tablet, Desktop) with one-click responsive grid controls.
Upload, play, pause, or loop dynamic rich-media files and zip packages. Check animation timings, interactive click-through behavior, and frame-rate loops natively.
Inspect ultra-high resolution assets effortlessly. Pinch to zoom, pan smoothly across large scales, and rotate between portrait and landscape orientations to inspect fine details.
An expansive, collaborative whiteboard workspace where your team can pull in multiple media assets side by side, draw visual flowcharts, brainstorm concepts, and review mockups collectively in real time.
Toggle layout framing masks on top of your videos and graphics, including standard aspect ratios (16:9, 4:3), the Rule of Thirds grid, and Title-Safe zones for social platforms.
Toggle alignment overlays, custom pixel grids, and alignment guides to verify margins, bleeds, and layout placements before sending to print or publish.
Verify brand colors on any uploaded visual asset. Click anywhere on the layout canvas to instantly inspect and read the exact HEX, RGB, or CMYK color code.
Annotations appear in the asset’s comment thread with their canvas position linked. Clicking the comment jumps to the corresponding mark on the canvas.
Start original design projects from scratch inside edoro using integrated Adobe Creative Cloud tools. Make live edits, collaborate peer-to-peer, and instantly export finished assets as high-resolution images or PDFs to share with your team for review and approval.
Execute rule checks against visual assets within the proofing interface that categorizes results into matched, failed, or unverified items. Accepted findings can be pushed directly into the live comment thread in a single click.
Natively review and test SCORM e-learning content inside the canvas, enabling educational publishers and instructional designers to verify dynamic, responsive web-based learning modules.
Review complex e-books with an interactive TOC navigator, inspecting live reflowable layouts, typography scales, font embedding, and image placements across different virtual display viewports side-by-side with original source files.
Make real-time text fixes, re-align embedded media, and edit CSS stylesheets directly within the EPUB container—saving edits as a new version or overwriting existing files without needing to extract or recompile the package externally.
Annotations are tied to the version they were made on. They do not carry over to new versions, preventing older feedback from being confused with the current version state.
All annotations on a version are visible to every reviewer viewing that version, including external reviewers on their access link.
Structured review from first draft to sign-off.
Workflows are built from templates managed in the admin console. A template is copied to the asset when it is applied; subsequent changes to the template do not affect workflows already in progress. Note: Creating new templates doesn’t use up your workflow quota. However, activating the workflow counts towards your quota.
Stages can include internal team members by name, user groups, and external guests via direct access links. All three types can coexist on a single stage.
Controls how the stage resolves: everyone must decide; the first decision wins; a specific named reviewer must respond regardless of others; or a numeric threshold (e.g., 3 of 5 must approve).
Stages activate automatically when the workflow is applied, on manual trigger, or conditionally based on the outcome of a prior stage.
Distribute assets across multiple departments concurrently (e.g., Legal and Brand Review running simultaneously) rather than forcing files to wait in a single sequential queue.
Stages chain with branching logic. For example, route files dynamically based on metadata values: any asset containing the word “Financial” is automatically routed directly to senior financial compliance controllers.
Protect brand safety. If a high-tier reviewer (such as legal or compliance) rejects an asset with a “Needs Rework” decision at any stage, the active workflow halts immediately, bypassing the remaining reviewers and routing the file straight back to the designer.
If a designated stakeholder fails to review an asset within a set timeframe, the system automatically escalates or forwards the approval to a backup editor to prevent pipeline stalls.
Set as a fixed date and time, or as a duration from activation: hours, calendar days, or business days. Reminders go to outstanding reviewers when a due date passes.
When a new asset version is uploaded mid-stage, the workflow can either carry forward existing approvals or reset the stage, requiring all reviewers to re-evaluate.
Team members with override permissions can force a stage to advance or close regardless of outstanding decisions — for e.g., when a reviewer is unreachable or a deadline cannot be moved.
A complete record from every reviewer.
Configure custom decision statuses (e.g., “Approved,” “Approved with Changes,” “Needs Rework,” “Passed Legal”) with specific names, descriptions, and custom color Hex codes. Stages can be limited to simple binary outcomes (e.g., Approve / Reject) where required.
Submitting a decision and leaving a comment are separate. A reviewer can comment without deciding, or decide without commenting.
A reviewer can change their decision while the stage is still open. Once a stage closes, decisions on that stage become read-only.
Comments support nested replies. Each thread is attached to the specific asset version it was left on and does not appear when a different version is active.
Mark specific feedback items as “Resolved” or “Reopened” as modifications are completed, creating a transparent, actionable to-do checklist for production designers.
Attach reference files, typography, or brand logos directly to a comment pin so creative teams have immediate context.
Discuss reviews privately with your internal team on the same asset. Toggle a private commenting layer that remains completely hidden from external clients or guests.
Mentioning a team member in a comment generates a notification directed to that person.
A full chronological record of every decision and comment at every stage, with timestamps and reviewer attribution. Accessible to members with the appropriate permission.
The decision log can be exported as a PDF report. Includes reviewer names, decision types, timestamps, and comments — sufficient for client delivery or compliance records.
Permissions set at the workspace level, applied per member.
Organized by function: project management; asset operations (upload, version, download, rename, delete); review participation (approve, comment, add reviewers, nudge, override); workflow management; and decision log access (view and export).
Each area is independent. A role can allow commenting but not approving, or allow viewing the decision log without the ability to export it.
Cluster team members and external stakeholders by department or squad (e.g., “Editorial Editors,” “Legal Evaluators”) to easily manage bulk permissions or assign active review cycles in one click.
When a group is on stage, the decision rule applies to the group as a whole. A threshold rule does not require every group member to respond — just enough to meet the threshold.
A separate permission allows inviting additional reviewers to an active stage without restarting it — useful when a file lands with the wrong person or when a stakeholder needs to be looped in after review has begun.tive review cycles in one click.
Project visibility can be restricted to an explicit list of members. Restricted projects do not appear in search or project listings for members who have not been added, even those with broad workspace permissions.
Equip your workspace with secure corporate access control. Integrate seamlessly with major Identity Providers including Okta, Google, and Microsoft Entra ID.
All platform assets and records are encrypted at rest using AES-256 and transferred over secure TLS 1.2+ channels to ensure full compliance.
Monitor storage utilization, active seat counts, pending workspace invites, and active public web links with live, color-coded progress bars.
Clients and contractors review without a workspace account.
Each external reviewer receives a link with a unique token. The link opens directly to the asset they have been invited to review, requiring no sign-in.
External reviewers see only the asset they were invited to. No workspace navigation, other projects, internal team member details, or other assets are accessible.
External reviewers can leave comments, add canvas annotations, and submit decisions, subject to whatever the stage permits.
Fine-tune the permissions of individual shared links. Restrict external guest reviewers to specific parameters such as “View Only”, “Review & Comment”, or “Final Sign-off Authority.”
External reviewer actions appear in the decision log attributed by the name or email entered when the invite was sent.
Links can expire on a fixed date, expire when the review stage closes, or remain active until explicitly revoked.
Any external link can be revoked immediately by a team member with sharing permissions, without affecting the broader review.
A project can be shared publicly via a token-based link. Recipients can browse assets without signing in. View-only — no commenting or decisions.
Provide your clients with a secure, branded portal to access all their shared proofs in one central hub. They can easily collaborate and leave feedback, with strict permissions that prevent them from modifying versions.
Completely replace the edoro URL structure and host the platform under your own custom address (e.g., reviews.yourcompany.com) backed by an auto-provisioned SSL certificate.

Supports filtering by result type, date range, tag, workflow status, and owner. The main tool for working across large asset libraries without having to browse project by project.
Quickly sort through hundreds of annotations across multiple assets by filtering comment threads by reviewer, date range, resolution status, or keyword search.
Search results link directly to the asset or project, not to the parent project listing.
Staying informed without checking manually.
Stage activation, decision submitted, comment posted, new version uploaded, reviewer nudge sent, @mention in a comment.
Each user controls which events generate an in-app notification, an email, or both.
Tailor outbound system alerts sent to reviewers and stakeholders. Edit the headers, text copy, button links, and footers to reflect your organization’s voice.
Provide stakeholders with control over their inboxes. Reviewers can choose to receive comments in real-time, in hourly blocks, or as a single end-of-day summary digest.
Shows unread notifications in reverse chronological order, each linking directly to the relevant asset or task.
Team members with nudge permissions can send a reminder directly to specific reviewers who have not yet responded on an active stage. Nudges are logged in the asset’s activity history.
Each asset has a chronological log of its full history: version uploads, stage activations and closures, decisions, comments, and access changes.
Capture a permanent, paginated audit trail of every administrative activity in your workspace (such as member additions, role changes, deleted files, and modified layouts) with exact acting-user attribution and timestamps.
A view of what needs attention.
Shows assets awaiting the logged-in user’s review decision, recently active projects, and pending review items. Content is scoped to the individual, not the full workspace.
Overdue reviews and items with approaching due dates are surfaced before items with no deadline pressure, enabling triage without opening each project individually.
Generates a plain-language summary of outstanding review activity and can answer questions about recent activity without manually navigating reports.
Identifies patterns from recent decisions — assets cycling through multiple rework stages, or stages consistently running past their due dates.
The dashboard surfaces information only. All decisions and actions happen in the asset review view.
An analytical overview of review health.
Tracks exactly how fast your creative pipeline runs from raw asset upload to final client approval.
Associate team hourly labor rates with cycle durations to quantify the cost of slow review handoffs and bottlenecks.
Isolate which named workflow stages (e.g., “Internal Preflight” vs “Client Sign-off”) exhibit the longest dwell times.
Analyze structural progress month-over-month to verify whether updated review standards are delivering real-time-to-market improvements.
Surfaces assets and reviews that need immediate attention: overdue stages, decisions that have stalled without response, and assets that have cycled through rework multiple times.
Query your operational database in simple English. Type questions like “Which team member is currently overloaded?” or “What is our biggest bottleneck?” to get clear data insights instantly (utilizes AI credits).
Surfaces patterns from recent review data: reviewers who consistently respond late, asset types that generate the most rework, and stages where decisions are typically slowest. Presents this as a readable summary rather than a data table.
An AI agent available from anywhere in the app.
The chat panel is part of the application layout and can be opened from any page. It does not interrupt the current view or require navigating away.
The assistant has context about the user’s workspace: their projects, assets, review stages, and activity. Questions can reference current work without needing to describe it in full.
Users can ask questions in plain language — “which assets are waiting on my approval?”, “show me everything overdue in this project”, “what happened on the Brand Guidelines file last week” — and receive direct answers.
Upload textual rulebooks or regulatory guidelines (e.g., brand guides, local packaging standards) to automatically extract and categorize rules into structured operational buckets (e.g., logo, typography, layout, legal, packaging). Modify, select, or reject extracted rules.
Let AI automatically cross-reference newly uploaded creative assets against your corporate brand guidelines, editorial stylebooks, or logo rules upon ingestion.
Deleted items held before permanent removal.
Items in trash retain all their data: versions, comments, workflow history, annotations. Nothing is stripped on deletion.
Items can be restored individually to their original location.
Deleting a project moves it and all its assets. The project and its individual assets can be restored independently.
Trash shows when each item was deleted and by whom — useful when a deletion was unintentional and needs to be traced quickly.
A separate, explicit action with a confirmation step. Cannot be undone.
